BATCH + EXPIRY CONTROL FOR EXPIRING GOODS

Never ship expired stock again.

TraceLot splits your stock into tracked lots, assigns the earliest-expiring batch to every order, and holds back anything expired — automatically, inside the tools you already use.

FOLLOW ONE LOT THROUGH YOUR WAREHOUSE

The life of LOT-26098-CS

These aren't mockups. Every screen below is TraceLot tracking the same real lot — RawHarvest Canary Seeds, expiring 04/08/2026 — from the day it arrived to the day the auditor asks about it.

STAGE 1 · GOODS IN

Every unit becomes traceable

A pallet arrives and becomes lots — each with an expiry date, supplier, bin location, and any parameter your industry demands.

Lots on any product

Split stock into batches with lot code, expiry, supplier, and bin — synced from Veeqo or Shopify.

Plant passports & custom fields

Name your own batch field — plant passport, COA number, country of origin — and it follows the lot everywhere.

Certificates on the lot

Attach COAs and specs to the batch itself, so the paperwork lives where the auditor looks.

Bundles included

Kits and multipacks trace through to their component lots — no blind spots.

STAGE 2 · ON ORDER

FEFO on autopilot

An order lands. TraceLot assigns the earliest-expiring lot, writes it on the order line, and refuses to touch anything expired.

Earliest expiry ships first

Every order line is allocated to the soonest-expiring in-date lot. No picker judgement calls.

Expired stock is held

Out-of-date lots leave sellable stock automatically — the mistake becomes impossible, not just unlikely.

Lot + expiry on the packing slip

You choose the format; lot, expiry, bin, and passport print on every Veeqo order line.

Order #SO-10414 → LOT-26098-CS (earliest in-date lot)
STAGE 3 · ON THE FLOOR

Pick and pack the right lot, first time

The pick list says exactly which bin and which lot — sorted by location, printable, one list per warehouse.

Bin-sorted pick lists

Walk the warehouse in order — location, lot, quantity. No backtracking.

One list per warehouse

Multi-warehouse orders split correctly; each site sees only its own items.

Print and go

A clean printed sheet with the lot codes pickers actually need.

Lot + expiry on every packing slip

Packers and customers see exactly which lot shipped — chips printed per line, barcode included.

STAGE 4 · AHEAD OF EXPIRY

See write-offs before they happen

Weeks before a lot dies, you know — based on how fast it actually sells, not a guess.

Velocity-based risk

Order history × remaining shelf life = units at risk, per product, 10 to 90 days out.

A daily email, not a dashboard chore

The risk summary lands in your inbox before the morning stand-up.

Reorder tips

Purchasing suggestions from real consumption, so you stop over-buying dated stock.

STAGE 5 · AUDIT-PROOF

The recall drill takes one click

If a lot ever goes bad, you already know every order and customer that received it — and the paperwork is attached.

Recall CSV in one click

Every shipped order for the lot — customer, date, quantity — ready for FSMA, FDA, or Trading Standards.

A ledger for every lot

Receipt, orders, corrections, transfers — the full history with references.

Held stock warned

TraceLot flags units of the recalled lot still in your warehouse before they ship.

BULK & ON-DEMAND STOCK

Sold by the gram.
Stored in barrels.

If your stock arrives in drums, barrels, or sacks and leaves as customer-sized packs, piece-counting tools fall apart. TraceLot tracks bulk lots by weight and repackages on demand — without ever losing the lot.

Track the drum, not the pouch

A 25 kg drum is one lot with one expiry. TraceLot tracks its remaining weight to the gram as you pack from it.

Sell any size from the same lot

3 oz, 6 oz, 12 oz, 24 oz — every packed size deducts weight from the same drum, so availability is always real.

FEFO by weight

Orders draw from the earliest-expiring drum first, and an expired drum is held — exactly like piece stock.

Full lot lineage for audits

The ledger shows every gram: drum received → repacked for orders → remaining balance. Recall works at drum level.

WHO IT'S FOR

Built for teams selling products with a shelf life

Without lot tracking you can't enforce FEFO, expired items slip into orders, and a recall means days in spreadsheets.

TraceLot is built for teams selling anything with a shelf life — food & beverage, beauty, supplements, pet care, medical and lab supplies — including bulk buyers who repackage drums and barrels into customer sizes. Veeqo, Shopify, and more.

According to FDA and USDA traceability requirements, proper batch and lot tracking is essential for food safety compliance and recall readiness. TraceLot integrates with your sales channels for bidirectional sync, ensuring your inventory data stays accurate across all platforms.

"

We were tracking 150+ batches across Excel and writing off $6K monthly in expired inventory. Since switching to TraceLot's FEFO system, our write-offs dropped to under $1K. The daily expiry alerts give us time to run promotions instead of tossing product."

"

Before TraceLot, we spent 7 hours weekly updating batch spreadsheets and manually checking expiry dates. One error led to 12 expired creams reaching customers — the complaints were brutal. Since implementing TraceLot, we've had zero expired shipments in 9 months and reclaimed an entire workday per week."

Our FDA audit would have been a nightmare without TraceLot's batch traceability. We passed with zero findings because we could trace every lot to every order in seconds. QUESTIONS

Have a Question?

What happens if I ship an expired product to a customer?
Shipping expired products can lead to customer complaints, negative reviews, potential lawsuits, and serious brand damage. For regulated products (food, supplements, cosmetics), it also risks FDA, USDA, or other compliance violations and fines. TraceLot prevents this by automatically blocking expired stock from your sellable inventory across all connected sales channels.
TraceLot uses 30-day order velocity to forecast which batches are at risk of expiring before they sell. You'll receive daily email alerts for batches expiring in 10, 30, 60, or 90 days, giving you time to run promotions or markdowns instead of writing off inventory.
FEFO (First-Expired-First-Out) prioritizes shipping products closest to expiration first, while FIFO (First-In-First-Out) only considers when stock arrived. For products with expiry dates, FEFO is essential — older batches don't always expire first. TraceLot automatically assigns the earliest-expiring batch to every order, ensuring you never ship expired stock and minimize write-offs.
Most e-commerce platforms — including Veeqo and Shopify — don't track batch numbers or lot numbers at the order level. TraceLot fills this gap by automatically assigning batch numbers and lot numbers to every order line using FEFO (First-Expired-First-Out), creating a complete audit trail of which batch went to which customer.
When TraceLot assigns a batch to an order, it automatically updates the order notes with the exact batch number, lot number, and expiry date. Pickers see this information directly in your sales channel when fulfilling orders — no separate system or manual lookup required. This ensures the correct batch is picked every time.
When a batch reaches its expiry date, TraceLot automatically reduces the available quantity in your sales channel to zero, blocking it from being assigned to new orders. The inventory stays visible in TraceLot's ledger for compliance tracking, but customers can never purchase expired stock through your store.
FDA and USDA traceability requirements mandate lot/batch tracking for food, supplements, and other regulated products. Laws like FSMA (Food Safety Modernization Act) and regulations such as 21 CFR 111 require lot-level traceability. TraceLot maintains full traceability records, including which batch was assigned to each order, expiry dates, and receiving history — everything you need for audits and recall readiness.
Product recalls require knowing exactly which customers received affected batches. TraceLot maintains a complete order-level ledger, so you can instantly pull a report showing every order that included a specific batch number or lot number. This turns a multi-day crisis into a 5-minute query, helping you contact affected customers quickly and meet regulatory deadlines.
TraceLot fully supports multiple warehouses. You can track batches separately by location, enforce FEFO at each warehouse, and maintain independent expiry tracking — all synced automatically with your sales channel.
Repackaging from bulk containers (barrels, drums, pallets) into customer-specific sizes often loses traceability. You can't prove which original bulk lot went into each packaged unit, creating compliance gaps and making recalls nearly impossible. TraceLot lets you split a bulk batch into multiple child batches during repackaging, maintaining full traceability from the original supplier lot through every final package with complete lot number lineage.
TraceLot syncs bidirectionally with your sales channel, so when you receive new stock or mark a batch expired in TraceLot, quantities update automatically. No more manual reconciliation, double-entry, or spreadsheet updates. Everything stays in sync.
Returns and warehouse transfers often break batch traceability. You can't track which batch was returned or which lot was transferred between locations, losing compliance visibility and audit trail. TraceLot tracks batch movements across all operations: when a customer returns an item, you can receive it back to the original batch; when transferring between warehouses, the batch and lot number stay intact. Every movement is logged with warehouse location, date, and reason for a complete audit trail.
Setup takes about 10 minutes. Connect your sales channel (Veeqo, Shopify, or other supported platform), import your existing inventory, and start receiving new batches with expiry dates. TraceLot begins enforcing FEFO on orders immediately — no data migration, training, or warehouse reconfiguration required.
After the first month free, you can choose a plan based on your order volume or cancel — no commitments required. You can upgrade, downgrade, or cancel anytime from your settings.
TraceLot currently integrates with Veeqo and Shopify, with WooCommerce, Etsy, and Amazon coming soon. Each integration offers bidirectional sync, FEFO allocation, and expiry management tailored to the platform.

Stop losing track. Start using TraceLot.
